The Role
Job Purpose
Statement :
The Maintenance Coordinator will work closely with the Senior Maintenance Supervisor PFM to support all Maintenance activities. The Coordinator will be the first point of contact for internal and external customers. The Maintenance Coordinator will provide administrative support to the Senior Maintenance Supervisor and the maintenance team, manage office functions including Work Order coordination, and access assignments, database management, daily office operations, coordination of budgeting/accounting systems, maintaining office records, and providing general support services for the divisional staff. Under general supervision, provides lead direction to lower-level maintenance classes in functional areas which may include parks, landscape and lighting, facilities, service center, traffic signals and streets and drainage; monitors and performs maintenance operations, construction and repair activities; establishes work schedules and prioritizes activities of one or more crews and ensures that work is completed as directed; performs skilled and semi-skilled maintenance activities and performs related work as required.
Duties and Responsibilities:
• Assist and report to the Senior Maintenance Supervisor in all aspects of day-to-day operation.
• Assume responsibility for the maintenance operation, in conjunction with Property and Facilities Manager, during the absence of the Senior Maintenance Supervisor or/and when directly assigned by the Property and Facilities Manager.
• Process the work requests after filling in the required materials,man hours, and skill levels.
Allocates work to subordinates and contractors, checks progress providing instructions and advice as necessary and ensures that works are completed confirming to established work standards and statutory requirements.
• Responsible for overall maintenance including building maintenance, plumbing, electrical, carpentry, garbage/Recycling management, Janitorial, House Keeping, gardening,swimming pools,painting,water and sewage management, lawn and trail maintenance.
• Responsible for inventorying,ordering and managing the inventory of all supplies and other items needed to keep up with maintenance and repair needs.
• Represent the Maintenance Department in inter-departmental meetings to support and facilitate.
• Identifying necessary tasks and scheduling work to be done, responsible for ensuring that the work is performed to an appropriate quality level and that it complies with company policies,applicable industry standards and legal requirements.
• Expedite the job execution and provides feedback regularly.
• Schedule seasonal service for company heating,venting and cooling,or HVAC,systems,book periodic flooring maintenance services.
• Do periodic inspections to determine what repairs are needed and they serve as a point of contact for other employees when they report problems.
• Maintain records and files of work performed,in progress, and work completed, materials and equipment used. Completes and processes paperwork related to his section such as time sheets,material costs,repairs and activity reports.
• Assist in the preparation of annual lists of spare parts, consumable materials and special tools or test equipment. Reviews consumption, discusses interchangeability with his supervisor,initiates purchase requisitions for new materials, assists in the receipt of the new material and spare parts through on-site inspection of delivered material.
• Actively resolve any customer issues according to the Customer Complaint process.
• Independently maintain and update administrative policies and processes.
• Set up,maintain,and organize department's central files,information,filing, and messages.
• To produce any weekly/monthly reports in accordance with company deadlines.
• Responsibility for follow-up on actions based on various team projects.
• Recognize and act on opportunities;adjust direction when situation warrants
• Work cooperatively with others/Work independently with minor direction.
• Prioritizing work projects and meeting work schedules
• Coordinate with the Property team - for check list, status of repairs, status of complaints from tenants,purchases orders and payments
• Coordinate with Call Center and act accordingly.

· Experience in CCS (Candy Post Contract Software) would be a big advantage.
· Experience in COINS ERP software is a bonus.
· Be capable of managing 2 to 4 Asian quantity surveyors
